Executive Assistant Office Manager

This position is located in the Galleria area of Houston and works in the office. Our client is a small entrepreneurial firm that is fast moving and high energy. We are seeking a highly detailed and organized EA/Office Manager with a high level of urgency who can keep the office running smoothly and play a key role in executing projects for the CEO. This is a "hands on", make things happen position for someone who loves variety, thrives in a fast paced work environment, and has the vision to see what needs to get done before anyone else says it out loud. The ideal candidate will juggle operations, projects, people and priorities and be directly involved in shaping how the firm continues to grow and thrive. Any previous experience working with a financial services firm would be a strong plus.

  • Will keep the office running smoothly with professionalism, efficiency and positive energy.
  • Manage vendors, supplies, facilities and tech coordination so everything runs smoothly.
  • Support operational and compliance workflows.
  • Will be the execution engine for the CEO, moving key projects from idea to completion
  • Coordinate cross-team initiatives, track progress, and ensure deadlines stick.
  • Prep materials, updates, and reports for leadership and client meetings.

Requirements

  • 5 - 10 years of office management experience, executive support and project management. Previous experience in financial services would be a plus.
  • Must be a natural self-starter with extreme organizational skills and an eye for detail.
  • Someone who moves fast, follows through, and thrives under pressure.
  • Must be comfortable working with executives and staying one step ahead.
  • Demonstrated ability to handle highly sensitive and confidential information with absolute discretion and professionalism.
  • QuickBooks basic knowledge is required.
  • Previous "EOS" operating systems would be a plus.
  • Tech savvy with MSO and CRM tools.
  • Must have advanced Excel skills to include Pivot Tables and V-Lookups and previous experience working with modeling and data driven analytical reporting.
