Position Summary

Next Tax is seeking a Marketing Specialist / Client Manager. The Marketing Specialist / Client Manager is the first point of contact for prospects and returning clients and plays a critical role in the early stages of the tax preparation process. This position focuses on reaching out to warm leads who have contacted our firm, welcoming clients into the workflow, guiding them through the onboarding steps, and helping them gather, organize, and submit the documents needed for tax preparation.

This is not a sales or commission-based role. It is a dual Marketing outreach and Client-support position requiring professionalism, accuracy, follow-through, and basic understanding of the tax filing process. The ideal candidate has prior tax office experience, excellent communication skills, and a strong attention to detail.

Essential Duties & Responsibilities

Client Contact & Onboarding

  • Update and Respond to prospects on Social Media. Our Ad Agency will handle all content.
  • Make calls to individuals who have reached out to our firm to initiate the onboarding process (no cold calling).
  • Greet and assist clients both in person and by phone/email; verify identification and collect required intake documents.
  • Conduct brief intake interviews to understand clients’ tax situations and determine which documents they need to provide.
  • Clearly explain the onboarding steps, required documentation, deadlines, and what clients can expect throughout preparation.

Document Intake & File Preparation

  • Guide clients in identifying, organizing, and submitting appropriate income and tax documents (W-2s, 1099s, prior-year returns, deductions, etc.).
  • Review all submitted materials for completeness and accuracy before assigning tax preparers.
  • Track missing documents and follow up with clients as needed.
  • Organize all client materials within the firm’s workflow or document management system.

Internal Support & Workflow Management

  • Maintain accurate and confidential client records according to firm policies.
  • Support tax preparers by ensuring files are complete, well-organized, and ready for preparation.
  • Identify recurring client issues or common questions and relay feedback to management to improve onboarding processes.
  • Contribute to a professional, organized, and client-friendly office environment.
  • Perform additional administrative or client-support duties as assigned.

Required Qualifications

  • Excellent communication and interpersonal skills, both in person and over the phone.
  • Ability to close a sale over the phone.
  • Strong attention to detail and ability to manage multiple client files and deadlines.
  • High level of professionalism, discretion, and integrity when handling sensitive information.
  • Proficiency with standard office software (Microsoft Office, PDF tools, scanning applications, etc.).
  • Availability to work extended hours during peak tax season (January–April).

Preferred Qualifications

  • Previous experience working in a tax, accounting, or professional office environment.
  • Basic knowledge of individual income tax documents and terminology.
  • Bilingual abilities (English/Spanish) a strong plus.

Pay: $45,015.00 - $59,025.00 per year
