We are seeking an experienced and service‑oriented Facilities and Office Services Manager to oversee workplace operations for our Houston office. This role is responsible for ensuring a safe, efficient, and high‑quality office environment through effective facilities management, vendor oversight, security administration, and office services leadership. The position serves as the primary liaison with building management and plays a key role in construction projects, budgeting, crisis management, and service excellence initiatives.RESPONSIBILITIES:
- Serve as the primary liaison between the firm and building management, overseeing day‑to‑day facilities matters including HVAC, air quality, security, fire safety, cleaning services, building access, elevators, and utility shutdowns.
- Manage vendor relationships and contracts in accordance with firm procurement policies, including office supplies, furniture, cleaning services, HVAC, electrical, plumbing, duplicating equipment, courier services, and other facilities‑related services.
- Review bids and proposals, recommend vendors, ensure contract compliance, and prepare cost estimates for inclusion in the annual office budget.
- Reconcile and approve invoices related to facilities and office services vendors.
- Oversee monthly parking reconciliation, including adding and removing employees from parking programs and coordinating with garage staff and Payroll to ensure accuracy.
- Support new construction, renovations, and office build‑outs by participating in RFP processes, reviewing contracts and scopes of work, and serving as the primary on‑site contact for architects, contractors, and subcontractors.
- Assist with construction and lease evaluations for other offices within the firm’s portfolio, as needed.
- Manage office security systems, including issuance and tracking of electronic access and physical keys, maintenance of key inventories, and oversight of CCTV systems. Investigate incidents and provide documentation as required.
- Compile and manage annual facilities and office services budgets; monitor expenses against budget and explain variances to the Director of Administration.
- Provide direct supervision and leadership to the Office Services team, including training, coaching, performance management, time sheet verification, and salary adjustments.
- Oversee office production and delivery services, including duplicating, binding, mailing, and courier operations.
- Coordinate office setup for new hires, internal office moves, and reconfigurations, working closely with Office Services staff.
- Serve as a Crisis Leader on the office’s Crisis Management Team, including overseeing safety drills and providing guidance during emergency situations.
- Provide logistical support for community outreach and internal events, as needed.
- Coordinate ordering of business cards for lawyers and senior administrative staff.
- Participate in an on‑call rotation to address facilities, security, or building‑related issues outside normal business hours.
QUALIFICATIONS:
- High school diploma required; Bachelor’s degree in a related field preferred.
- Demonstrated supervisory and management experience in facilities management, real estate, construction, or a related operational environment.
- Strong communication skills with the ability to provide clear direction and collaborate effectively with stakeholders at all levels.
- Ability to work independently and as part of a team, exercising sound judgment in routine and complex situations.
- Strong organizational skills with the flexibility to manage shifting priorities in a fast‑paced environment.
- Experience managing vendors, contracts, budgets, and operational teams.
- Professional certifications or credentials related to facilities management or construction are a plus.
OTHER:
- This is an exempt position and may require work beyond the standard 37.5‑hour workweek.
- The role includes 24/7 on‑call responsibility for facilities, security, and building‑related issues.
- Occasional travel may be required.
